Summary:
The College of Lake County is currently looking for a Student Records Representative to join the Student Records Department. Reporting to the Assistant Director, Student Records Services, the Student Records Representative performs data entry, maintains student records, verifies information, and handles requests for student records, transcripts, and related information. In addition, the Representative provides information to students regarding registration and student records related policies, procedures, and services.

Required Qualifications:
  1. A high school diploma, or equivalent.
  2. Minimum one (1) year of work experience
  3. Excellent oral and written communication skills.
  4. Strong computer skills and ability to multi-task and prioritize.
  5. Must be detail oriented.
  6. Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work.

Summary of Essential Functions:
Student/Customer Service: 50%
  1. Respond to requests from students, staff, and the general public for information about student records related policies, procedures, programs, and services.
  2. Investigate, problem-solve, and resolve questions and issues from prospective and current students in regards to all student records processes and procedures.
  3. Assist students with registration and how to navigate the registration system and website.
  4. Assist faculty and staff with understanding student records policy, procedure, and processes.
  5. Respond to and complete enrollment verifications.
  6. Answer phone and return voicemails promplty.
  7. Process and sort incoming mail


Data Entry/Reporting: 45%
  1. Receive and process any incoming documents including student records forms, transcripts, and internal communications, updating in the student information system as needed.
  2. Process incoming and outgoing joint agreements and residency updates.
  3. Maintain and update personal information for all students within student information system.
  4. Process program changes, enrollments, withdrawals, student record holds and grade changes.
  5. Maintain electronic student records using document imaging software.
  6. Retrieve transcripts from third-party systems; process and input into the student information system.
  7. Resolve errors or discrepancies in regards to transcript requests via third-party systems.
Other: 5%
  1. Maintain compliance with State, Federal, and College policies and guidelines, uphold FERPA regulations.
  2. Other duties as assigned.
